Privacy Policy

This policy explains what ProvenRemote ("we", "us") collects when you use provenremote.com, why we collect it, who can see it, and how you can have it removed. It applies to candidates, to employers who post roles, and to visitors to the site.
1. What we collect from candidates
Account details (name, email address, and the sign-in method you choose); application answers (English self-rating, hours available, US time zones you can cover, internet speed, headset, expected monthly salary, and your two written answers); audition and training audio recordings, their transcripts and AI scores; your certification status and progress; and audio answers you record for an employer's screening questions.
We do not ask for your home address, government ID number, bank details, or card details, and we never ask a candidate for money.
2. What we collect from employers
Your name, email address, optional company name, the brief you write for a role, the job post generated from it, and the screening questions you send. Job posts are managed through a private link; anyone holding that link can see the post and its shortlist, so treat it as confidential.
3. Technical data
Our hosting provider processes your IP address to serve the site and to detect your country, which we use only to choose which landing page to show first. You can switch sides at any time with the header toggle. We store your side preference in your browser, and we store your sign-in session in your browser so you stay logged in.
4. How we use your information
To create and secure your account; to score applications, auditions and roleplays; to certify candidates; to match certified candidates to employer job posts; to pass your screening answers to the employer who asked the question; to contact you about your application, certification or job post; and to keep the service working and safe.
5. Automated screening
Applications, auditions, quizzes and roleplays are scored with the help of AI models. Text and audio you submit are sent to our AI provider for transcription and scoring; scores and notes are stored with your record. Automated scores are not the final word: a human reviewer can approve, reject or override any AI decision, and you can ask for a human review by writing to the address in section 10.
6. Who can see your data
Your full profile is visible only to you and to ProvenRemote reviewers. Employers see a masked candidate card: first name initialised, no email, no phone, no exact location — plus your audition scores, a short audio clip and any answers you record for their questions. Your full name and contact details are shared with an employer only when you agree to be introduced. We also use service providers who process data on our behalf: hosting and database, file storage, email delivery, and AI transcription and scoring. We do not sell your data or use it for advertising.
7. Where data is processed
ProvenRemote serves candidates in the Philippines and employers in the United States, so your data is transferred to and processed on servers outside your country, including in the United States and the European Union. By using the service you consent to that transfer.
8. How long we keep it
We keep your account, recordings and scores for as long as your account is active. If you are not selected, we keep your application and recordings for up to 12 months so you can re-apply without starting over, then delete them. Job posts and their shortlists are kept for 12 months after the post is closed. We may keep a minimal record of a deletion request to prove we acted on it.
9. Your choices and rights
You can view and edit your profile in Settings, re-record an audition where the flow allows it, ask for a copy of your data, ask us to correct it, withdraw the consent you gave at sign-up, and request deletion of your account and all your recordings from Settings in your dashboard. We action deletion requests within 30 days. Deleting your account removes your profile, application, recordings, transcripts and scores.
10. Security and contact
Audition and training audio is stored in a private bucket and is served only through short-lived links to you, to reviewers, and to the employer you are shortlisted with. Access to candidate records is restricted by account and role. No service can promise perfect security, so please tell us straight away if you think your account has been accessed by someone else. For any privacy question, a data copy, or a deletion request, write to privacy@provenremote.com.
11. Payments and changes
Candidates never pay ProvenRemote — not to apply, not to audition, not to get hired. Employers pay only after they decide to hire; billing details are handled by our payment processor and we do not store card numbers. If we change this policy we will update the date at the top of this page, and we will email you before any change that materially affects how we use data you already gave us.
